Title: Executive Assistant to Chief Financial Officer (CFO)
Location: Bronx, NY
Salary Range: $90K - $100K/Year - Full-time, FLSA Exempt
Work Schedule Requirements: 35 hours per week, 9am – 5pm. Must be able to work extended hours as needed.
Role Summary:
The successful candidate will provide support and assistance to the CFO. This position is for an experienced Executive Assistant with strong communication, collaboration and networking skills. The selected candidate should possess excellent organizational skills and be able to work independently under pressure. The role represents the Chief Financial Officer’s office, and the assistant will be required to engage with senior members of the Executive team, Board of Directors, and Strategic Partners/ Stakeholders.
Primary Job Responsibilities/Duties:
· Act as the CFO’s aide, anticipating needs for maximum efficiency and impact with all communications, tasks, meetings & projects
· Schedule appointments and proactively manage outlook calendar; maintain and update electronic contacts; keep all incoming emails organized and filed in proper email folders, ensuring the CFO follows up as necessary; set up conference calls and coordinate meeting arrangements; greet visitors; keep daily schedule on track; rearrange calendar and prioritize requests
· Demonstrate professionalism and courtesy in representing the CFO through interaction with top level executives, clients, business partners, consultants, and co-workers
· Manage all aspects of CFO travel and collate and file business expenses
· Work closely and effectively with the CFO to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
· Handle multiple priorities and deadlines with exemplary follow through and confidentiality
· Create presentation materials for client and board meetings, including financial charts and graphs, flow charts, and power point presentations
· Manage incoming telephone calls, electronic and paper mail, taking initiative to manage inquiries from inception to completion; provide information, follow through and author correspondence for review, and/or direct inquiries to proper team members. Forward relevant correspondence and calls to the appropriate team member
· Perform a variety of administrative functions: prepare correspondence, analysis, reports, memos and presentations; maintain existing and create new files; send faxes, letters, and emails on behalf of the CFO. At times attend meetings and takes minutes or type meeting notes
· Coordinate non-profit board representation and special events. Review and respond to emails, calendar events, coordinate meetings, organize responsibilities, work with other administrative staff to assist in coordination of meetings and special projects
· Other duties as assigned
Physical Requirements:
· Ability to sit for extended periods and perform repetitive tasks.
· Must be able to travel daily to multiple NYC locations as needed.
Qualifications:
· Must be a NYC resident.
· Must be able to read, speak, write, and understand English for administrative purposes.
· Must pass drug screening to be appointed.
· This position may be subject to a series of investigations before and after appointment.
· MA/MS or equivalent in Administration, Finance, Human Relations, and/or Management with 2 years or more experience working as an administrative assistant on an executive level or/
· BA/BS or equivalent in Administration, Finance, Human Relations, and/or Management with 4 years or more experience working as an administrative assistant on an executive level.
· Valid drive license is required.
· Excellent analytical, quantitative skills.
· Proven ability to handle multiple tasks effectively under pressure while successfully meeting critical deadlines.
· Strong organizational skills, detail-oriented, and efficient.
· Maturity, integrity, and sound judgment.
